Job Description:
As a receptionist, you will be the first point of contact for our company and should pleasantly greet and assist guests over the phone and in person. Receptionist duties for our company include various front-desk coordination activities and offering administrative support across the organization. Multi-tasking and stress-management while streamlining office operations is essential in this role.
Core Responsibilities:
- Serves as the face of the company by offering friendly service to those entering the building or calling on the phone and diligently assisting them by answering any questions, scheduling consultations, and alerting staff when someone is there to meet or speak with them.
- Answer a multiple line phone system and screen each call. Manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.
- Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup.
- Schedule coordination for multiple project managers calendars for on-site estimates, meetings, bid due dates, and travel arrangements and accommodations.
- Provide project management support by researching companies for reputable sub-contractors, along with printing and distributing construction drawings, site plans, and bid documents.
- Maintain the reception area, keeping it clean and free of clutter.
- Auditing and ordering office merchandise, stationary, and supplies.
- Perform administration tasks executed to the highest standard, such as, maintaining, updating, and filing electronic and hard-copy data entry as requested, invoice tracking and expense reports.
